Call trees for clubs, teams and crews

One call starts it. Everyone hears it.

Ringround turns your member list into a balanced call tree: who calls whom, in what order, and what to do when nobody answers. Then it gives you a printable chart and a pocket card for every person.

Free for up to 12 people. Ringround Plus is $1.95 a month or $19.50 a year per tree, free during preview.

Ringround plans the calls; your people make them. No message fees, no app for anyone to install.

The word travels

Everyone hears in 15 minutes, not 78.

The same 27 people as above. A round is one step down the tree: round 1 is the people the starter calls, round 2 the people they call, and so on. Everyone starts their own calls as soon as they hear, so the rounds overlap in time: each bar ends at the minute the last person in that round hears. The gray bar is one person calling the whole list alone.

Worked out by the same code that builds your tree. Real calls run long or short; the shape stays the same. Try your own numbers.

How it works

From a list of names to a tree everyone can follow.

  1. STEP 01

    List your people

Type them in or paste them from a spreadsheet: name and phone, a second number if they have one. Put your most reliable people near the top.

  2. STEP 02

    Ringround builds the tree

Each person goes to whoever can call them soonest, and nobody makes more than the calls you allow (2 to 5). Mark anyone who can only take calls, and the tree works around them.

  3. STEP 03

Print the chart and the cards

A printable chart for the organizer and a pocket card for every person: who calls you, whom you call, and what to do if nobody answers.

The pocket card

Everything one person needs, and nothing they don’t.

A tree breaks when someone does not pick up. Every card says what to do about it.

  • 01Who calls you, their number, and about when to expect it.
  • 02Your calls in order, people who pass the word on first.
  • 03No answer? Leave a short message, then call that person’s own people yourself, so nobody further down is missed.
  • 04Report back to whoever called you, so the person who started knows the word got through.

Your calls, in this order

  1. Kim Alvarez 216-555-0137 texts first No answer? Leave a short message, then call Kim Alvarez’s people yourself: Robin Shaw 216-555-0173
  2. Jo Wallace 216-555-0155 No answer? Leave a short message and try once more before your report.
  3. Alex Fenn 216-555-0182 No answer? Leave a short message and try once more before your report.
Done? Tell Dana Ortiz who you reached and who you could not. List as of October 17, 2026. A card with a later date replaces this one.

Who it is for

Groups that cannot afford to have someone miss the news.

  • Clubs and societies

A meeting moves, a trip is off, a member needs support.

  • Teams and leagues

Rain-outs and late field changes. Adult contacts only: for youth teams, parents or guardians.

  • Officiating crews

A game moved or canceled, a crew change on short notice.

  • Volunteer groups

Shifts that need covering, a pantry delivery that came early.

  • Small workplaces

Closed for weather, power out, start an hour late.

Privacy, built in

A list of phone numbers deserves care.

  • No accounts

Your tree lives behind a long private link. No sign-up, no email address, no password to leak.

  • Nothing sent

Ringround never calls, texts or emails anyone on your list. Only your people use the numbers.

  • Adults only, with consent

List people who agreed to be on the tree. For a youth team, list parents or guardians.

  • Delete any time

One button deletes the tree from the site at once; backup copies are gone within about four weeks. A tree nobody opens for a year is deleted on its own.

Questions

Good to know before you start.

Does Ringround call or text people for me?

No. Ringround plans the tree and prints it. Your people make the calls from their own phones. That is why it costs nothing to run and needs no app.

Why a call tree instead of a group text?

A group text is fine for small news. A call tree reaches landlines and people who do not read group chats, and every caller knows whether their people actually heard. With report-backs, the person who started knows when the word got all the way through.

What happens when someone does not answer?

The caller leaves a short message, then calls that person’s own people directly, so nobody further down is missed. Every card lists those numbers.

Who can see my tree?

Anyone who has its private link can see and change it, so keep the link to yourself. With Plus you can also hand members a separate read-only link to the chart and cards, and turn it off at any time.

Can children be on a tree?

No. Every person on a tree must be 18 or older and have agreed to be listed. For a youth team or school group, list the parents or guardians.

Is Ringround a nonprofit? It is on a .org address.

No. Ringround is a product built and run by WeldonPC.com, published at weldonhastings.org. It is not a charity or nonprofit organization.
